SnowIS proof of service

How we prove a snow removal visit

A completion text is not enough. SnowIS ties each service record to the right property and dispatch, then checks the visit time, location, checklist, and photos before the record can be completed.

03 / Service plan

What stays tied to the visit

The record keeps the key facts together instead of spreading them across texts, photos, and memory.

01

Property and dispatch

The record must match the assigned company, property, and dispatch. Those identity fields cannot be changed after the record is set.

02

Arrival and departure

The visit stores clock-in and clock-out times with location data for the assigned property.

03

Site checklist

SnowIS takes a snapshot of the active required checklist for that property. Required items must be marked complete.

04

Before and after photos

A completed record needs stored before and after photos. Extra photos can also be tied to checklist items that need proof.

05

Work and materials

The record can keep notes, materials, salt use, and the work completed during the visit.

06

Sealed proof record

When the proof checks pass, the completed record is sealed. Later changes use a separate correction record instead of silently rewriting the visit.

04 / Price and scope

What SnowIS checks before completion

These checks run in the database, not only in a crew training guide.

Database checkWhat must be true
IdentityThe company, property, and dispatch match
Checklist snapshotThe property has an assigned active checklist
Required workEach required checklist item is marked complete
Required item photosAny checklist item that needs a photo has one
Arrival and departureBoth times and both location records pass the property check
Service windowDeparture is after arrival and the visit is not longer than 24 hours
Before and after photosBoth photo types exist in storage
Photo timingPhotos fall within the allowed visit-time window
Photo integrityThe stored file still matches its saved type, size, and file fingerprint

The exact checklist and photo needs can change by property. SnowIS uses the checklist snapshot assigned to that site when the service record is created.

05 / What happens next

What happens in the field

  1. Open the assigned stop

The crew works from the property and dispatch already placed on the route.

  2. Clock in at the property

The record captures the arrival time and location for the assigned site.

  3. Complete the written scope

The crew works through the property checklist and takes the required photos.

  4. Clock out and close

SnowIS checks the time, location, checklist, and photo proof before the record can be completed.

  5. Seal the record

A completed record is locked. Any later correction must be requested and tracked separately.

06 / Field guide

What the record can and cannot show

The record can show what work was recorded, when the crew was at the property, and what the site looked like in the saved photos.

It cannot promise that outdoor conditions stayed the same after the crew left. New snow, traffic, melt, and refreeze can change a site. The service plan still needs clear triggers, return rules, and ice coverage.

Send the property address. We will show what service record, checklist, and photo proof the property plan calls for.

FAQ / Straight answers

Straight answers

Can a crew close a visit without before and after photos?

Not when the record is being completed through the current SnowIS proof rules. The database checks for stored before and after photos before it accepts a completed service record.

Can a completed service record be edited later?

The completed record is sealed against normal changes. A later change uses a separate correction request so the original record is not silently rewritten.

Does every property use the same checklist?

No. SnowIS takes a snapshot of the active checklist assigned to that property. The required items and photo needs can match the written site scope.

Does a service record prove the property stayed safe all day?

No. It records the visit and visible conditions at that time. Weather, traffic, melt, and refreeze can change the property later.
